About the Company

This opportunity is with a fast-moving consumer technology business building a portfolio of AI-powered consumer products aimed at a global audience. The business is well funded, has a strong runway, and is led by a founder with a serious track record of building and scaling consumer internet businesses to significant exits.

The portfolio spans consumer AI, prediction markets and AI-generated content, with live products already in market and global press attention. The core technology has been built and proven, the team is in place, and the focus now is taking these products to the world. The founder and commercial leadership are based internationally, while the operating, product and engineering team is based in South Africa.

This is a small, high-calibre team that moves quickly and thinks differently. The pace is fast, the standards are high, and the work sits right at the front of the consumer AI wave. For the right person, it is a rare chance to learn how a high-growth business is actually built, from the inside.

Job Overview

We are looking for an exceptionally smart, resourceful and AI-native Personal Assistant to work directly with the CEO. This is a true right-hand role. You will own the detail and the day-to-day busy work across the CEO's world, so that their time and focus stay on building and running the businesses.

Day to day, you will look after diary and inbox management, travel and flight bookings, and the preparation and completion of business documents and correspondence. You will use AI tools constantly to speed up the commercial running of the business, from research and drafting to filings and follow-ups. The work spans the founder's full business portfolio and, at times, personal matters, so discretion and reliability are essential.

No two days look the same, turnaround is fast, and you will be trusted to take an instruction and run with it. The role reports directly to the CEO and works alongside the wider South African team. It will suit an experienced, commercially minded professional who lives in AI tools and on their phone, thinks on their feet, and wants a front-row seat to how a high-growth business operates.

Duties and Responsibilities

Diary, Inbox and Communication

  • Manage the CEO's diary, scheduling and reminders across multiple time zones.
  • Monitor, triage and respond to emails on the CEO's behalf, flagging what genuinely needs attention.
  • Draft, proofread and manage professional correspondence and communications.

 Travel and Logistics

  • Arrange flights, accommodation, transport and detailed itineraries.
  • Coordinate meetings, calls and appointments, anticipating what is needed for each.
  • Keep the CEO prepared and on time across a busy, fast-moving schedule.

Business Documents and Administration

  • Create, complete and format business documents, presentations and reports to a high standard.
  • Prepare and submit administrative forms and filings accurately and on time.
  • Support trademark, banking and compliance paperwork, ensuring everything is correctly completed and actioned.
  • Keep records, documents and follow-ups organised and up to date.

AI-Enabled Productivity

  • Use AI tools daily to research, draft, build and speed up day-to-day commercial tasks.
  • Turn broad, or even one-word, instructions into completed work with minimal direction.
  • Find faster, smarter ways to handle routine work so the CEO's time is protected.

Marketing, Outreach and Special Projects

  • Support social media activity, book promotion and online marketing initiatives.
  • Manage outreach and communications on the CEO's behalf.
  • Take on ad-hoc business and, at times, personal projects, coordinating suppliers or tools where needed (for example taking a promotional video through to an editing suite).

Minimum Requirements

  • A BCom, BCom Marketing or similar Commercial degree, with at least 4 years of hands-on commercial work experience.
  • Strong, hands-on experience across a range of AI tools and platforms, from Claude and ChatGPT to others, with a genuine understanding of how to use them to get work done.
  • Extremely hands-on and confident on mobile, comfortable running much of the working day from a phone. The ideal person is used to spending no less than six hours a day on their mobile device and is highly mobile and tech-savvy.
  • Exceptional written and verbal communication skills.
  • Highly organised and detail-oriented, able to juggle competing priorities without dropping anything.
  • Strong online and social media skills.
  • Comfortable working independently, figuring things out and taking initiative.
  • A fast learner who can keep pace in a very fast-moving environment.
  • Discreet and trustworthy, comfortable handling confidential business and personal information.
  • Based in South Africa and able to work fully remotely.

Nice to Have

  • Based in or near Johannesburg.
  • Previous experience as a Personal Assistant, Executive Assistant or in a similar support role.
  • Exposure to administrative, trademark, banking or compliance filings.
  • Experience with content creation, video editing tools or online marketing.
  • Comfortable supporting a founder across both business and personal matters.
