This is the type of environment where operational excellence and data-driven decision-making are not optional — they directly impact platform performance, customer experience, and business growth.

As the business expands, the team is looking to appoint a smart, technically capable, and highly organised junior professional who can support operational reporting, platform tools, workflow systems, and structured testing, with a clear growth path into operations leadership over time.

Job Overview

This role is suited to a highly analytical and proactive junior candidate who enjoys working with data, business tools and systems, and operational problem-solving.

It’s important to note: this is not a software development role, and it is not an IT support/helpdesk role. Instead, the role sits in the operational heartbeat of the business — supporting reporting, overseeing key third-party tools, maintaining workflow automations, assisting with platform testing, and helping the business run efficiently day-to-day.

A key success factor in this position is the ability to solve logical technical problems as they arise, using initiative and strong reasoning. The ideal candidate should be comfortable working with no-code/low-code platforms (particularly Make.com) to build and maintain basic workflow automations and integrations between systems. While this is not a role for a hardcore developer, the team requires someone who can confidently figure out simple technical tasks, troubleshoot workflow issues, and use modern tools — including AI-assisted platforms and drag-and-drop technologies — to implement practical solutions.

You will be responsible for a significant amount of spreadsheet-based work and operational delivery, including ensuring that reporting output is accurate, monitoring processes, supporting new releases through structured testing, and assisting with automation across tools such as ActiveCampaign, MessageBird, Typeform, Make.com, and app tracking platforms.

This position offers a clear growth path into an Operations Manager role, and would also suit someone who may in future progress into Business Analysis, Product Operations, or Technical Project Coordination.

Duties and Responsibilities

Reporting & Data Support

  • Support daily, weekly, and monthly reporting requirements across the business
  • Assist with the oversight of Power BI reporting output, including basic report builds, data validation, and coordinating improvements with third-party support partners
  • Work with operational data to identify inconsistencies, investigate discrepancies, and ensure reporting inputs are accurate and reliable
  • Prepare structured reporting outputs and insights for internal stakeholders to support operational and performance decision-making

Excel & Spreadsheet Ownership (Non-Negotiable)

  • Manage operational and reporting spreadsheets using strong, hands-on Excel capability
  • Build and maintain structured analysis files, including:
    • Pivot Tables
    • VLOOKUP / XLOOKUP
    • Data validation, formatting, and spreadsheet structuring
  • Ensure datasets remain accurate, well-organised and consistently maintained to support reliable reporting and operational workflows

Third Party Tools Management

  • Take day-to-day ownership of key self-service business tools used across the organisation, including:
    • ActiveCampaign (marketing automation platform)
    • MessageBird (WhatsApp messaging workflows)
    • Typeform and similar data collection tools
    • App tracking and analytics tools (e.g., AppsFlyer or equivalent)
  • Manage tool configuration, workflow set-up, user access, and operational functionality
  • Support cost optimisation by monitoring tool usage and ensuring systems are configured efficiently to reduce wastage and improve value.

Automation & Workflow Support

  • Maintain, optimise, and improve business automations across operational platforms and self-service tools
  • Troubleshoot workflow errors, identify root causes of breakdowns, and implement fixes in a structured and disciplined manner
  • Keep automations organised, repeatable and clearly documented to ensure operational continuity
  • Proactively identify opportunities to reduce manual processes and improve efficiency through automation and better workflows.

Low-Code Integrations & Logical Technical Problem Solving

  • Build and maintain basic workflow integrations between systems using Make.com
  • Support simple operational integration tasks linked to the mobile app environment, including workflow triggers, data flows, and platform-to-platform connections
  • Apply logical reasoning to solve technical workflow issues as they arise — confidently investigating, testing, and implementing solutions
  • Use AI tools, online resources, and platform documentation to self-solve problems and deliver practical outcomes without constant supervision
  • Document integrations clearly, including workflow logic, triggers, dependencies and escalation points.

Testing & Release Support

  • Support the rollout of new mobile app features and system updates through structured testing and validation processes
  • Write and execute test cases and testing checklists to ensure features are tested thoroughly and consistently
  • Perform UAT diligently and report defects clearly, including bug reproduction steps and supporting detail
  • Support ongoing product improvement by tracking issues, documenting outcomes, and coordinating follow-ups with relevant stakeholders

Operational Support

  • Provide hands-on operational support across the business where needed, taking ownership of tasks that help the organisation run smoothly day-to-day
  • Support cross-functional teams with accurate data, structured outputs, and reliable follow-through
  • Take initiative and resolve problems independently, using online tools and AI platforms where appropriate to find solutions quickly and effectively

Minimum Requirements

  • Matric (required)
  • Degree (preferred) — especially in fields that demonstrate strong analytical ability such as:
  • Engineering (any discipline)
    • Mathematics / Statistics
    • Computer Science / Information Systems
    • Data Science / Actuarial Science
      (Client may consider exceptional candidates without a degree if capability is strong.)
  • Minimum 2+ years current professional work experience (structured business/professional environment)
  • Advanced hands-on Excel experience (non-negotiable), including:
    • Pivot Tables
    • VLOOKUP / XLOOKUP
    • Data cleaning and spreadsheet structuring
  • Excellent English communication skills (written and verbal)
  • Professional, presentable, and confident engaging with internal teams and external stakeholders
  • Comfortable working with no-code/low-code platforms and able to implement basic workflow automations and integrations using tools such as Make.com

Advantageous

  • Exposure to Power BI reporting environments
  • Experience working with automation and workflow tools such as Make.com / Zapier
  • Exposure to system-to-system integrations, triggers, or automated data flows (even at a basic level)
  • Familiarity with marketing automation tools such as ActiveCampaign
  • Exposure to data tools, app tracking software, or analytics platforms
  • An interest in technical systems, process design, and continuous improvement
