About the Company

Established in the late 1990s, this national retail group supports a network of stores across South Africa in the consumer electronics, appliance and home furnishings market. It forms part of a larger international group, which gives it buying power and supplier relationships that a standalone retailer cannot match.

The head office in Sandton runs the central systems that the business depends on every day: the ERP and accounting platform, Microsoft 365 and the supporting applications used by the finance and operations teams. The Systems and Learning team sits within Finance and looks after those systems, the people who use them and the audit controls around them.

It is a stable, long-established business with an open-plan office and a small, hands-on team. The person in this role will have real ownership of the ERP environment rather than being one of many in a large IT department.

Job Overview

We are looking for an ERP Systems Administrator to take ownership of the day-to-day administration, support and improvement of the group's ERP system, alongside the wider business applications and Microsoft 365 environment. The role reports to the Head of Systems and Learning, who in turn reports into the Head of Finance.

This is an ERP support and administration role, not a development role. The ERP platform is the accounting system of the business, so you will spend most of your time inside it: configuring, supporting users, resolving tickets, managing access, running upgrades and keeping the documentation and audit controls in order. Because of that, an understanding of accounting processes is as important as the technical skills.

The role suits someone who has supported an ERP system in a mid-sized business, understands how finance teams use it, and is comfortable being the person users come to when something does not work. Experience on Acumatica would be a strong advantage, but solid experience on a comparable ERP with the ability to learn a new platform is what matters most.

Duties and Responsibilities

ERP and Systems Administration

  • Administer and maintain the ERP system and all supporting business applications to keep them performing reliably.
  • Provide first and second line support to users, resolving queries and technical issues as they arise.
  • Log, track and report on all internal and external support tickets, making sure issues are followed through to resolution.
  • Manage user accounts, roles and permissions across the ERP, Microsoft 365 and other platforms.
  • Conduct daily health checks on systems and monitor their operational status.
  • Implement and oversee system security protocols, backup procedures and disaster recovery processes.
  • Plan and execute system upgrades and enhancements in coordination with vendors and the business.
  • Create and maintain documentation for system configurations, policies and procedures.
  • Participate in the full project cycle for system-related projects, from planning through to completion.

Learning and User Training

  • Create, update and distribute training manuals and user guides for the ERP and business applications.
  • Coordinate training sessions and workshops for system users across the business.
  • Provide on-the-job training to users as new processes, modules or upgrades are introduced.
  • Work with other teams to align system changes with the training and support users need.

Audit and Compliance

  • Liaise with external auditors and coordinate all system-related audit activities.
  • Prepare supporting documentation for IT and systems controls and give auditors access to the information they need.
  • Track and report on audit findings related to systems and make sure corrective actions are closed out on time.
  • Conduct internal reviews of system processes, controls and documentation ahead of external audits.
  • Lead the annual internal review of system-related procedures and maintain version control on internal system policies.
  • Prepare reports, audit summaries and system performance trends for management review sessions.

Minimum Requirements

  • 2 to 3 years' hands-on experience administering and supporting an ERP system (Acumatica, Sage, SAP Business One, Microsoft Dynamics, Syspro or similar).
  • A working understanding of accounting processes and how finance teams use an ERP, gained through an accounting background, a finance-related qualification or ERP support in a finance environment.
  • Experience in systems administration: user and access management, ticket handling, backups, security and system upgrades.
  • Advanced Microsoft 365 experience.
  • Experience creating user documentation and training material and delivering training to system users.
  • Exposure to systems projects, from planning through to implementation.
  • A relevant qualification such as a BCom in Business Informatics, Information Systems or Accounting is preferred, but equivalent hands-on ERP experience will be considered.

Nice-To-Have

  • Direct experience administering Acumatica.
  • Experience coordinating system-related external audits and IT controls.
  • Formal project management exposure or a project management certification.
  • Experience in a retail or multi-site environment.
